As part of its rich array of features, eFiler has three powerful tools for the bulk archiving of emails – one obvious and two not so obvious.

1) The obvious one is the bulk folder export function which will export an Outlook folder and its contents to a selected file system folder while recreating the folder structure in the destination.

This works extremely well, but you might want a little more subtlety and flexibility.

2) Use eRules and Outlook Rules together. Imagine that you have just installed eFiler and the first thing you want to do is use it to file everything in your Inbox or Sent Items folders, but that you want to file as you mean to carry on rather than using the bulk export to archive everything and eRules or selective filing to file emails from then on.

Here’s what to do:

Group your emails as you intend to file them and make an eRule for each group. Then go to Outlook Rules->Manage Rules and Alerts and click “Run Rules now”, select all of your eRules and set them running.

All of your emails will be filed into their designated folders while you can go off and make a cup of tea.

3) Just file EVERYTHING automatically. The third option is for filing a copy of everything filed or everything received by each user. This is the hidden “Autosave” feature accessible from the Admin Settings menu – log into Admin Settings by holding Ctrl+Shift+Alt while clicking the Settings button, enter your Admin password and you will see the option to enable the Autosave feature for a designated destination folder. This is very handy if you want a belt-and-braces copy of important emails (why not file into a Dropbox, Sharefile or Google Drive folder for cheap and effective offsite backup?) or if some staff are so important they don’t feel the need to file their emails.

So you get to work in the morning and turn on your computer and go and make a cup of tea while it boots.

You open Outlook and there’s something wrong – your Google Apps profile won’t load or a plugin won’t work so you log a support ticket and wait for help, causing downtime which could have been easily avoided:

Always shut all your applications properly before switching off your computer before going home in the evening!

Shutting down the computer with applications running (particularly Outlook as it is a very complex piece of software) can cause essential files to be corrupted which in turn can cause problems further down the line.

We know your train leaves at 5:28 and it’s a ten minute walk to the station and you didn’t want that last phone call, but it would be better to leave your computer on overnight with the screen off than to force a shutdown with applications running.

Here ends the lesson.

So you bought a new computer and it came with Outlook 2013 installed as a trial and you used it for a bit and hated it and decided to revert to Outlook 2010 and all of a sudden your COM addins went mad and started throwing horrible looking errors that said things like:

Unable to cast COM object of type ‘Microsoft.Office.Interop.Outlook.ApplicationClass’ to interface type ‘Microsoft.Office.Interop.Outlook._Application’. This operation failed because the QueryInterface call on the COM component for the interface with IID ‘{00063001-0000-0000-C000-000000000046}’ failed due to the following error: Library not registered. (Exception from HRESULT: 0x8002801D (TYPE_E_LIBNOTREGISTERED)).

You or your IT people tried everything but to no avail….

The problem is caused by some Registry entries which need to be edited. Here’s how to fix it.

1) Open Regedit and find HKEY_CLASSES_ROOTInterface{00063001-0000-0000-C000-000000000046}TypeLib
2) Find a ‘(Default)’ entry with the value ‘{00062FFF-0000-0000-C000-000000000046}’ and make sure the “Version” Data is set to 9.3 for Outlook 2007, 9.4 for Outlook 2010 or 9.5 for Outlook 2013.
3) Now navigate to HKEY_CLASSES_ROOTTypeLib{00062FFF-0000-0000-C000-000000000046} and delete the version entry 9.3, 9.4 or 9.5 corresponding to the versions of Outlook you are NOT using.

Problem solved!

It’s always a good idea to reboot after making changes to the Registry.

We were stunned the other day when a customer explained his company’s problem and how eFiler is the perfect solution. He put it like this:

Well, the Legal department are afraid of lawsuits and the IT department hate full Mailboxes so all email more than a year old gets deleted as a matter of policy. The problem is that some of our projects last for several years so we need all the emails relating to those projects to enable us to do our jobs.

eFiler solves this problem very neatly.

As far the IT department is concerned eFiler helps by emptying Mailboxes and making sure no-one hits their limits.

As far as the Legal department goes eFiler is brilliant because their view is “if it looks like an email, it is an email.” In other words, data stuck in an Exchange database, an Outlook PST or OST or a dedicated email archive LOOKS like email and therefore IS email.

Save your email as msg files in the file system and, hey presto, you have turned your email into documents beyond the reach of the subpoena but still searchable and usable as if still in Outlook.

Genius.

We are proud to announce the release of eFiler 2.6 which sports the new eRules feature.

eRules enables you to create rules which file your emails automatically as they are sent or received by matching specific text in an email’s subject line, message body and the addresses of sender or recipients.

Any number of criteria may be added to make an eRule and you can have as many eRules as you need.

The simple and clear user interface makes creating eRules easy.

Also new in eFiler 2.6 are the Location Scanner and Policy Manager utilities made to speed up and simplify the process of creating and deploying lists of filing locations, configuration settings and eRules.

Location Scanner searches a specified drive either for folders with a specific name e.g. “Email” or containing files with specific text in their filenames e.g. “msg”. It compiles a list of the folders which match the search criteria and the user then selects which ones are to be added to the list already in use or exported to be deployed to other users.

When the selected folders are compiled into an efl (eFiler locations) file they are given tags named after the folder, its parent and grand parent.

The Policy Manager utility allows users to upload, download, replace, restore and delete efl (locations), efc (config) and efr (eRules) files for deployment across an organisational unit.

Please watch the new

video of eRules being created, edited and used to see how easy it is and how much time eRules could save the average user.

One of our machines received some automatic updates recently and immediately we noticed that it was running really badly.

The browser was slow, file system access was sluggish and, most alarmingly, Outlook was taking several minutes to open.

We watched all of the machine’s processes using Process Explorer (a highly recommended replacement for Task Manager) and noticed that csc.exe, the C# command line compiler, was being opened by Outlook and was apparently causing it to take ages to start.

A little bit of research suggested that a service needed by csc.exe might have stopped so we went through all the services and found that the COM+ System Application service was not running so we started it and set it to automatic, ran sfc/scannow at the command prompt for good measure and rebooted the machine.

Outlook now opens in a matter of seconds and the machine is back up to full speed!

This is a problem encountered by a lot of people and it is the cause of a lot of wasted time for helpdesk personnel.

Emails sent by Outlook users in RTF (Rich Text Format) over the internet can sometimes be changed along the way. This can make the winmail.dat file, which describes the RTF formatting to the receiving client, visible as a potentially unreadable attachment.

There is a Microsoft KB article about this issue here: http://support.microsoft.com/kb/278061

More information about emails formats affecting internet email in Outlook can be found here: http://support.microsoft.com/kb/290809

And if you want to prevent winmail.dat from being sent via IMC, read this article: http://support.microsoft.com/kb/149203

And to prevent it from being sent to internet users: http://support.microsoft.com/kb/138053
